Use Electronic Copies instead of Paper Copies for Correspondence

The agency that I work for generates a lot of letters/correspondence. For every original letter sent out, at least three or more agency copies need to be made. Instead of a Program Assistant making three copies of the original letter and mailing or routing the copies, the Agency should use the Scanning function built into the copiers, which allows the letter to be scanned and e-mailed to agency staff right from the... more »

Revamp Social Security Benefit Verification & Letter Process

One of the largest burdens on Social Security each year is creating "Benefit Verification Letters" for citizens. They are used to verify things like benefit enrollment for purposes of state program eligibility, proof of income for loans, and even birthdate! But due to the wide and undefined range of use, the agency will customize the letter to include whatever a citizen wants. The process is done in-person or by phone.... more »

Would make some folks very happy for the convenience, make some folks happy to not waste the paper and would make the government actually seem like it's paying attention to how the country reads adn collects information. A simple storefront for all... more »

Implement BVAMC Beneficiary Travel Tool Nationally

Early in July I developed a beneficiary travel tool to expedite a task for myself and a colleague in calculating copious amounts of information on Beneficiary Travel mileage. Upon utilizing this tool, it became evident this simple tool could be used by other VA staff to more accurately complete beneficiary travel vouchers. The tool is a simple web based interface that tells the mileage between a Veteran’s residency... more »

Discontinue automatic shipments of forms and pamphlets

Dated 7/29/11: Yesterday, a case containing 2,000 SSA-827 (Authorization to Disclose Information) forms was automatically shipped to our office in Downtown Columbus, Ohio. Our stockroom already had 16,700 forms in boxes and additional 47 100-ct packages. After adding another case of 2,000 SSA-827 forms, the new total is now 18,700. If each one-page form cost $0.015, the total cost of 18,700 forms is $280.50. That's just... more »

Eliminate multiple mailings for background checks

All Federal employees undergo checks of the accuracy of their applications. For most employees these are carried out by the Federal Investigative Services of OPM. That office mails a computer readable form to the person given as a reference by the employee. For almost all employees, the same reference is contacted to verify more than one item, such as multiple previous employers or multiple previous residence addresses.... more »

Save Paper by Using DynaComm/Elite Printing Scripts

Install DynaComm/Elite printing scripts on every computer that uses this software. The default print button prints out one screen per page and uses only about one third of a piece of paper. This wastes ENORMOUS amounts of paper when having to print out lengthy criminal records, etc. It is possible to fit up to three screens on one page using scripts. Some printing scripts already exist, but they are not readily available,... more »

Bureau of Prisons Call-Out/Change Sheets

Institutions print out call-outs / change sheets for inmates to view every day. One copy may contain up to 25 pages of entries. As many as 75 copies are made each day for posting in various areas for inmates to read. This accounts for as much as 13125 pages of printed material for one week at one institution. If you two side print the document, it still amounts to 6563 printed pages of material per week for one institution.... more »

E-Readbooks for Senior Officials

At nearly every military command or defense agency I have worked for, every night watch floors and staffs set to the task of printing hundreds of pages of documents for executive readbooks. Most senior officials only have time to review a fraction of the documents, which are subsequently shredded. This wastes reams of paper and thousands of dollars in labor costs. These documents are already posted online and are readily... more »

Mine Inspection E-Reports

Currently, every mine inspection has a paper copy prepared that includes notes, photos, citations, health notes, and various attachments. These components are all electronically generated except for the notes and health notes. The notes and health notes could be scanned into a PDF format and all other components added to the file. This would save hours per inspection as well as copying, filing, mailing, and lost materials.... more »

CFRs - Save Wasted Paper, Printing and Distribution time

Ever year we receive stacks of updated CFRs (Code of Federal Regulations). These need to be printed, trucked to us, stored and distributed. Then, the old ones need to be recycled. We should be able to access the latest CFRs on line, rather than printing out copies for everyone. People could probably more easily find the information they need by searcing on line, and could print out any sections that they need to have... more »
