Eliminate Mailing Downward Adjustment Self-Employer Notices

We receive very large volumes of the undeliverable Form SSA-L5114 “Notification of Downward Adjustment - Self Employment” notice. In 2010, we mailed approximately 217,000 of these notices and received about 119,000 notices back as undeliverable mail. Use USPS instead of FEDEX or UPS

All agencies should use USPS for all mailing needs, even overnight, as the USPS also provides this. Not only is it less expensive but the money stays within the government. Additionally it would give the USPS much needed income. This would save the government millions of dollars annually.

Ask Banks & other Institutions to provide postage

Currently we send requests for information to a beneficiary and provide a non-postage paid return envelope; the client is requested to add postage. Clearly the post office will not deliver mail without proper postage. I believe in tough economic times we have to make the same sacrifices most of our beneficiaries do. Convert Paper CFR's to 512 MB USB Flash Drives for Distribution

OSHA issues annual updates to the code of federal regulations in hard copy books. The shipping costs for 25 books can be very costly due to the weight of the package. In addition, the books become outdated when a new standard is issued, which can occur on a periodic basis. Eliminate mail reminders of appointments for patients

Instead of mailing multiple reminders to veteran and military patients pateints, the organization can email or phone the appointment reminders. This will not only cut down on postal costs but paper costs too. The automated reminder system will be sent via email or phone whichever is preferred by the patient. The preference will be specified upon registration into the health system.
