Reduce paper costs and storage space

If staff would begin using electronic copies of Pre- Sentence Investigation Reports and Judgement & Commitment files instead of hard copies, we could save on paper and storage space. Currently, at each institution, copies of the same documents are maintained in each inmates central file and each inmates judgement and commitent file. The documents are printed from an electronic file. We could eliminate the hard copy and work from the electronic file. Also, when the files are sent away for archiving, we combine the central file and Judgement and Commitment file. Thus, we are paying for archive space to store duplicate information. Another cost saving initiative may be to down load the files to a disk which will allow us to save on storage space for archiving.
